INFORMATION FOR PMHA VOLUNTEERS

(COACHES/TRAINERS/MANAGERS/ON-ICE VOLUNTEERS)

 

Like many non-profit organizations, the Pelham Minor Hockey Association runs on the efforts of its volunteers.  Each year volunteer coaches, trainers, managers and on-ice volunteers allow the PMHA to provide our players with excellent quality hockey programs.


If you already have you qualifications but are not on a team bench or if you have two qualifications you can be placed on the At-Large Roster which allows teams to call on you to help cover when a bench staff member cannot make a game. Please submit an At-Large form to be added to the roster.  Please note each volunteer can only be on a maximum of two rosters.


Volunteer Requirements

 

The PMHA, OMHA, OHF and HC have a number of policies and requirements in place to ensure that all youth are provided with a safe and enjoyable hockey season.  As such, depending on the role the volunteer will be filling, there may be certain requirements that will need to be met before you be on the ice or bench with our PMHA players. 



Have you volunteered for minor hockey in the past?

 

If you have volunteered for minor hockey over the past few years, it is very likely that you have a Hockey Canada profile which lists the qualifications you currently hold.  If you have completed Hockey Coaching clinics, hockey Trainer Certification, Speak Out or the Respect in Sport -Activity Leader Program a profile will have been created for you.  To check what is in your profile follow this link https://account.spordle.com/login?referrer=https%3A%2F%2Fregister.hockeycanada.ca%2Fhome.  If you have never accessed your profile, create an new account.  You will be required to provide your name and birthdate.  If you have taken a course in the past but cannot find your profile, contact the PMHA Registrar for assistance in locating your HC #.


Below are the minimum requirements based on volunteer positions available; please see the ADDITIONAL INFORMATION section below for more details on each requirement and how to obtain them.



HEAD COACH/ASSISTANT COACH

  • Vulnerable Sector Check - police check (scan a copy to the Registrar or just deliver the original to the PMHA     mailbox at the Community Centre Welcome desk, PMHA must have the original. 
  • Respect in Sport – Activity Leader or Speak Out! (not the same as the parent version)
  • Gender Identity and Expression Course
  • Rowan's Law - complete the review of information for the age category you are coaching, sign and return the acknowledgement form to the Registrar
  • Coaching Qualifications (see chart below)
  • Send receipts and expense form to the Treasurer

NEW COACHES - COACHING QUALIFICATION REQUIREMENTS FOR 2022-2023:
In order to be qualified as Coach 1 – Intro to Coach for the 2022-2023 season, a new coach must complete:
 Hockey University: ONLINE Coach 1/Coach 2
 Respect in Sport – Activity Leader
 Gender Identity & Expression Course
 Rowan’s Law Resource Review & Acknowledgement

In order to be qualified as Coach 2 – Coach Level for the 2022-2023 season, a new coach must complete:
 Hockey University: ONLINE Coach 1/Coach 2
 Hockey University: Checking
 Respect in Sport – Activity Leader
 Gender Identity & Expression Course
 Rowan’s Law Resource Review & Acknowledgement

ADDITIONAL NOTES:
1) If a coach currently holds a Coach 2-Coach Level “Trained” qualification that is expiring, their options are:
a. Complete the Trained to Certified process to be eligible for the 2022-2023 season, this process includes:
• Coach 2-Coach Level Workbook
• Making Ethical Decisions – Online Evaluation module
• Submit Coach 2-Coach Level Workbook to their Local MHA for approval
b. The expiring Coach 2 ‘Trained’ Coach who elects not to complete this process will be required to complete the requirements outlined for Coach 2 ‘New Coaches’ above in order to be eligible for the coming season
2) If a coach currently holds a Development 1 “Trained” qualification that is expiring, their options are:
a. Complete the following to be considered “in process” for the 2022-2023 season:
• Development 1 – Post Task Workbook
• Making Ethical Decisions – Online Evaluation module
• Submit Development 1 Request for Evaluation form to their Local MHA
b. The expiring D1 ‘Trained’ Coach who elects not to complete this process will be required to complete the requirements outlined for Coach 2 ‘New Coaches’ above in order to be eligible for the coming season.

 


TRAINER/ASSISTANT TRAINER

  • Vulnerable Sector Check - police check (scan a copy to the Registrar or just deliver the original to the PMHA mailbox at the Community Centre Welcome desk, PMHA must have the original.
  • Respect in Sport – Activity Leader or Speak Out! (not the same as the parent version) 
  • Gender Identity and Expression Course
  • Rowan's Law - complete the review of information for the age category you are coaching, sign and return the acknowledgement form to the Registrar
  • HTCP Level 1 (make note of the expiry date when you pass this course and ensure you complete a refresher course prior to the expiry date or you will need to complete the entire course to renew your certificate again)
  • Send receipts and expense form to the Treasurer

MANAGER

  • Vulnerable Sector Check - police check (scan a copy to the Registrar or just deliver the original to the PMHA mailbox at the Community Centre Welcome desk, PMHA must have the original.
  • Respect in Sport – Activity Leader or Speak Out! (not the same as the parent version)
  • Gender Identity and Expression Course
  • Send receipts and expense form to the Treasurer

 

ON-ICE VOLUNTEER

  • Vulnerable Sector Check - police check (scan a copy to the Registrar or just deliver the original to the PMHA mailbox at the Community Centre Welcome desk, PMHA must have the original. Send the receipt and expense form to the Treasurer).
  • Respect in Sport – Activity Leader or Speak Out! (not the same as the parent version - see additional information below for this)
  • Once you have complete the above two steps submit your name to PMHA through the on-line On-Ice Volunteer form  - this application form must be completed for insurance purposes, if you are not on a roster you cannot be on the ice.


ON-ICE VOLUNTEER - YOUTH

  • All hours must be signed off by the President who is the designated PMHA Board member using the proper form required by each school.
  • Hours will only be authorized if the volunteer performed the duties properly and responsibly. This is required active assistance to help make our PMHA programs run efficiently and purposefully and to help in teaching the game of hockey to our Panther players. Volunteers who are not following the requests/guidance/on-ice rules and instructions of the adult(s) supervising the activity (ie: the Head Coach), any goofing off, disrespect or inconsiderate behavior, such as shooting slapshots around the ice, or not participating and just standing in the corner, will be disqualified from further hours.
  •  All volunteers must be at least 2 years older than the division they assist with. 
  •  All volunteers must understand and follow the OMHA Rules regarding equipment usage on ice - there are no exceptions.  (Under 14 must wear full equipment. 14 and older can opt to wear only helmet and gloves although we do not recommend this in all instances). The age is determined on the actual date of volunteering.
  •  Please submit your name to PMHA through the on-line On-Ice Volunteer form  - this application form must be completed for insurance purposes, if you are not on a roster you cannot be on the ice.

ADDITIONAL INFORMTION

 

Vulnerable Sector Checks (VSC)

VSC are required every 3 years.  Hockey Canada recently update is system and the status of your VSC can now be found on your HC profile.  PMHA has entered all valid VSC to volunteer profiles.  If you check your profile but do not see a valid VSC, then the PMHA requires a new one.  With the change in the system, once you provide an association with a current VSC (and they enter it in the HC system) other association will have access to your VSC information.  This mean if you are volunteering with more than one association, you should not need to get VSC for each association.  However, the association entering the information is responsible for maintaining an official copy of the VSC.  For this reason, if you are providing PMHA with your VSC, we require the original, officially stamp document.  You can maintain a copy for you records, PMHA will not be accepting photocopies or only scanned documents. The system provides you with your expiry date.

 

You can obtain through the NRPS or request it online at: http://www.policesolutions.ca/checks/services/niagara/.  Niagara Falls police station has allowed walk-in police checks has allowed walk-in police check requests during certain hours, however, at times they have had to close this option, please call them beforehand.

If you are requested to provide a letter indicating the police check is for a volunteer position click here to download the letter.


When you have received your police check scan a copy to the Registrar or deliver the original to the PMHA mailbox at the Community Centre Welcome desk, PMHA must have the original. Send the receipt and expense form to the Treasurer.



Respect in Sport (RIS) – Activity Leader

The OMHA requires that all rostered and on-ice volunteers complete the RIS-Activity Leader course.  This program is separate from the RIS – Parent course required for parents of youth hockey players.  While you may have completed the Parent course, you will also be required to complete the RIS-Activity Leader course to volunteer on an approved roster or as an on-ice volunteer.  You can complete the program on-line at:  https://omha.respectgroupinc.com/koala_final/.  If you have completed this course for another sport (e.g. Soccer), select “Import a Certificate” when you begin.

 

Gender Identity and Expression Course

The Ontario Hockey Federation recently added a new requirement that all Bench Staff (Coaches, Trainers, Managers including Assistants) rostered to all OMHA teams are now required to complete two mandatory modules on Understanding Discrimination based on Gender Identity and Gender Expression Training for Team Officials.  The modules can be access through your account. 

PHMA as part of the OMHA supports OHF in their mission to support trans-inclusive hockey in Ontario. If you will be volunteering as a Team Official (coach, assistant coach, trainer or manager) with any PMHA team for the upcoming season, you are required to complete the following training immediately. Training will cover:

  • Understanding Discrimination based on Gender Identity and Gender Expression Training for Team Officials
  • A Guide to the Dressing Room Policy and Confidentiality Statement

We encourage all Team Officials to complete this training as soon as possible in order that teams can be rostered on time with you included on the team roster.

Background

The Ontario Hockey Federation (OHF) has announced the launch of a new training course for Team Officials, to support trans-inclusive hockey in Ontario, Understanding Discrimination based on Gender Identity and Gender Expression Training. There are two modules which will educate Team Officials on this important topic.

What Team Officials Need to Do

  • If you don't have an eHockey Account, get one now
  • Register for the Online Course
  • Upon registering for the clinic, team officials will receive an email with instructions for completing the modules
  • Use a Supported Device - Mac/PC Desktop Computers only / No phones or iPads
  • Have the Required Software - Adobe Flash 10.3 or later and a modern web browser (Explorer, FireFox or Chrome)
  • Complete both modules in order to receive credit
  • Your Username and Password to launch the online program will be the same as your eHockey account

FAQ

  • Q: I was assigned as a coach job after July 31st so have I missed a deadline? A: No but you should complete the course as soon as possible, and you must do so within 30 days


ALL Team officials will be responsible for completing the Understanding Discrimination based on Gender Identity and Gender Expression and a Guide to the Dressing Room Policy and Confidentiality Statement modules.

Once on this page you will have access to the course registration via the link and then be responsible for registering for the Gender Identity and Expression Course. Upon registering for the clinic, team officials will receive an email with instructions for completing the modules.  Once you have completed the modules, the course will show up on your Hockey Canada Volunteer profile.

Hockey Trainer Certification

The Hockey Trainer Certification Program (HTCP) is available online through the Hockey Development Centre for Ontario (HDCO) The HTCP is designed to educate trainers in the prevention, recognition and management of hockey-related injuries and is the only sport-specific risk management, injury management and safety education program in Ontario.

The HDCO is the administrative body responsible for overseeing the delivery of the HTCP in Ontario and works closely with its Member Associations to provide education for trainers across the province.
